1. Introduction

Bookkeeper.je takes your privacy seriously. This Privacy Policy explains how we collect, use, store, and protect your personal data when you use our website (the "Site") or enquire about or engage our bookkeeping services.

We are committed to handling your personal data responsibly and in accordance with the Data Protection (Jersey) Law 2018.

The data controller for personal data collected through this Site is:

Bookkeeper.je

1-3 Five Oaks Parade, Bagatelle Road, St. Saviour, Jersey, JE2 7TP

Email: info@nowagogo.com

By providing us with your data, you confirm that you are aged 18 or over. Please let us know if your personal information changes so we can keep our records accurate.

2. What Personal Data We Collect and Why

Personal data means any information capable of identifying an individual. We may collect and process the following categories of personal data:

Communication Data

Any communication you send us — through the contact form on our Site, by email, by telephone, or through social media. We process this data to respond to your enquiries, maintain records, and to establish, pursue, or defend legal claims. Our lawful basis is our legitimate interest in replying to communications and maintaining accurate records.

Client Data

Where you engage our bookkeeping services, we will collect personal and business information necessary to perform those services — including your name, business name, contact details, financial records, bank statements, payroll information, and tax reference numbers. We process this data to deliver the agreed services and to fulfil our legal and regulatory obligations. Our lawful basis is the performance of a contract between you and us.

Technical and Usage Data

Data about how you use our Site, including your IP address, browser type, pages visited, time spent on pages, and referring URLs. This data is collected automatically through analytics tools. We use it to understand how visitors use our Site, improve its performance, and ensure its security. Our lawful basis is our legitimate interest in administering and improving our website.

Marketing Data

Your preferences regarding receiving marketing communications from us. We will only send you marketing communications where we have a legitimate interest to do so (for example, where you have already enquired about our services) or where you have given your express consent. You may opt out at any time.

Sensitive Data

We do not intentionally collect sensitive personal data (also known as special category data) — such as information about health, ethnicity, religious beliefs, or political opinions — through this Site. Please do not submit such information to us unless we have specifically requested it in connection with the services we provide to you.

3. How We Collect Your Personal Data

We collect personal data in the following ways:

  • Directly from you — when you complete a contact or enquiry form on our Site, send us an email, call us, or engage our services
  • Automatically — through cookies and analytics tools when you browse our Site (see Section 11 on Cookies)
  • From third parties — such as analytics providers (including Google Analytics) or referrals from other businesses

4. Marketing Communications

We may send you information about our services if you have previously enquired about or used our services and have not opted out of receiving communications. We will always make it easy for you to unsubscribe.

We will never sell your personal data to third parties for their marketing purposes, and we will not share it with third parties for their own marketing without your express prior consent.

To opt out of marketing communications at any time, please email us at info@nowagogo.com.

5. Disclosure of Your Personal Data

We may share your personal data with the following parties where necessary:

  • IT and system service providers — for example, website hosting, email, and cloud storage providers
  • Professional advisers — including accountants, lawyers, or insurers where required
  • Revenue Jersey and other regulatory bodies — where we are required by law to report or disclose information
  • Successor businesses — in the event that our business is transferred or sold

We require all third parties to whom we disclose your personal data to respect its security and handle it lawfully. We do not permit third parties to use your personal data for their own purposes beyond what is strictly necessary.

6. International Transfers

Where we use service providers based outside Jersey, we take reasonable steps to ensure that your personal data receives an equivalent level of protection. Where transfers to countries outside the UK or European Economic Area take place, we rely on appropriate safeguards such as standard contractual clauses or adequacy decisions.

7. Data Security

We take the security of your personal data seriously and have implemented appropriate technical and organisational measures to protect it against accidental loss, unauthorised access, disclosure, alteration, or destruction.

Access to your personal data is restricted to those who have a genuine business need to process it. All such individuals are required to keep it confidential.

In the event of a personal data breach, we will notify you and the Jersey Office of the Information Commissioner (JOIC) as required by law.

8. Data Retention

We will retain your personal data only for as long as is necessary for the purposes set out in this Privacy Policy, and to comply with our legal and regulatory obligations.

For clients, financial and accounting records are generally retained for a minimum of six years following the end of the client relationship, in line with Jersey tax and accounting requirements. Communication data from general enquiries will typically be retained for up to two years.

In some circumstances we may anonymise your data for analytical purposes, in which case we may use that information indefinitely.

9. Your Rights

Under the Data Protection (Jersey) Law 2018, you have the following rights in relation to your personal data:

  • Right of access — to request a copy of the personal data we hold about you
  • Right to rectification — to request correction of inaccurate or incomplete data
  • Right to erasure — to request deletion of your data in certain circumstances
  • Right to restriction — to request that we limit how we use your data
  • Right to data portability — to receive your data in a structured, commonly used format
  • Right to object — to object to processing based on legitimate interests or for direct marketing
  • Right to withdraw consent — where processing is based on consent, to withdraw it at any time

To exercise any of these rights, please contact us at info@nowagogo.com. We will respond to all legitimate requests within one month. We may need to verify your identity before processing your request.

You will not normally be charged a fee to exercise these rights, unless your request is manifestly unfounded, repetitive, or excessive.

10. Complaints

If you are not satisfied with how we handle your personal data, you have the right to make a complaint to the Jersey Office of the Information Commissioner (JOIC):

Jersey Office of the Information Commissioner

2nd Floor, 5 Castle Street, St. Helier, Jersey, JE2 3BT

We would, however, appreciate the opportunity to address your concerns directly before you contact the JOIC. Please get in touch with us first at info@nowagogo.com.
